Position Title: Executive Assistant
Department: Legal Services
Reports To: Chief Legal Officer (CLO)
Position Summary:
The Executive Assistant will support the Chief Legal Officer in day-to-day administrative tasks, including serving as documentation person for department meetings and project plans.
Essential Function and Responsibilities:
- Closely maintain and manage the calendar of CLO: schedule meetings, respond to invitations, work through schedule conflicts, clearly understand and prioritize the CLO’s needs
- Coordinate complex scheduling and extensive calendar management, as well as management of content and flow of information to the CLO and the Legal Services team
- Handles incoming and outgoing correspondence
- Documents weekly meeting minutes to accurately record information and sends out meeting notes
- Maintains filing system to ensure accurate record retention
- Performs personal errands as requested
- Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business
- Requires a high degree of organization, structure, initiative, accuracy, judgment and diplomacy as well as a thorough understanding of business practices and procedures
- Interface well with all levels of management and act as a liaison between Legal Services and internal and external executives on various projects and tasks
- Provides administrative and other support to the legal team
- Complies with company policies and procedures
- Performs other duties as needed
Supervisory Responsibilities:
- None, but may direct the work of others
Performs any other functions and duties assigned and necessary for the smooth and efficient operation of Market America.
Education & Experience:
- Associate’s degree in business, legal or equivalent disciplines
- Five (5) to seven (7) years of experience in an administrative role
- Demonstrated experience in time management including related tools and technologies
- Must have the ability to organize and coordinate multiple projects at once.
Computer/Communication Skills:
- Proficient use of MS Office programs: Word, Excel, PowerPoint and Outlook, required
- High energy level, comfortable performing multifaceted strategic projects in conjunction with day-to-day tactical activities
- Ability to get along and work with diverse personalities; tactful, mature, flexible
- Prioritizes and models good communication skills; follows up, timely responses, proactive and positive in approach
- Above moderate to high levels in reading comprehension, writing, and speaking in English; active listening; attention to detail
- Service oriented, but assertive/persuasive
Travel:
- Occasional local travel as needed
- Annual conference participation and related travel
Physical Requirements and Work Environment:
- Normal office environment with little exposure to dust and weather conditions prevalent at the time (i.e., cold hot/humid)
- Routinely uses standard office equipment such as computers, phones, cameras, photocopiers, and filing cabinets
- Regularly required to talk, walk, stand, bend, twist, reach with hands and arms, stoop kneel and crouch
- Raise and lower an object from one level to the another, less than twenty (20) pounds.
- Visual acuity must be a minimum or 20/40 (corrected) and normal hand/eye coordination
- Normal or corrected hearing
- Must be able to perform in an office environment where ninety (90) percent of work is performed sitting.
- Occasional long or irregular hours of work
