Program Coordinator / Administrative Assistant

Location: Greensboro, NC

Position Summary

This position will coordinate and manage the efforts of maCares to maximize the impact on the community as well as perform administrative duties to support the Vice President of Operations while maintaining a high level of confidentiality. This position will also use creative writing skills to highlight and promote the maCares organization both internally and externally.

 

Essential Duties and Responsibilities

•Creates new approaches to projects including small volunteer events to large multi stake holder events

•Plans and executes fundraising programs such as walks, galas and dinners

•Maintains binders for each event

•Promotes maCares’ charitable initiatives via press releases and all social media platforms to position maCares among key influencers and stakeholders

•Engages in direct, focused, targeted volunteer recruiting using various resource pools, networks and social media

•Writes blogs that speak on behalf of the organization, employees and executives in order to deliver an important message

•Creates flyers for upcoming events, writes Blogs 3 times a week for maCares Website, posts on Facebook and Twitter Daily, Updates and Distributes maCares weekly newsletter and Adds videos to U-Tube when needed.

•Coordinates maCares booth at Market America annual events in order to spread awareness and maximize donations

•Coordinates donated items to charitable organizations, and obtain tax receipts

•Creates meeting agenda, takes and maintains meeting minutes and provides timely updates to committee members

•Maintains an organized office filing system that assures confidentiality of all documents

•Ensures timely distribution of incoming and outgoing mail, faxes, and telephone messages; exercises initiative in the timely response to inquiries and special requests

•Promotes maCares to new MA employees to recruit volunteers during weekly orientation

•Schedules and maintains Monthly Calendar and other internal fundraising events at Market America’s corporate office

•Creates and maintains various maCares spreadsheets

•Complies with company policies and procedures

•Performs other duties as needed

 

Supervisory Responsibilities

None, but may direct the work of others

 

Education and Experience

•Minimum of an associate’s degree in business, hospitality or administration or an equivalent combination of education and work experience

•At least 1-2 years’ experience working in event management in a nonprofit or corporate setting

 

 

Skills and Abilities

•Ability to analyze, interpret and express concepts clearly; the ability to think critically and strategically and conduct research

•Ability to accomplish work independently, efficiently and effectively, with a high level of skill and accuracy

•Broad knowledge of community issues and a working knowledge of nonprofit management

•Excellent written and oral communication skills, as well as keen analytical skills

•Comfort in a fast paced, rapidly shifting and evolving workplace required

•Recruiting experience or the ability to effectively communicate and represent maCares and Market America’s mission and activities in a positive manner

•Proficiency in training and presentation skills as well as the ability to relate effectively to people of diverse backgrounds and education levels

•Excellent teamwork, interpersonal and relationship-building skills

Proficient use of MS Office Products and Publisher, Dreamweaver, Photoshop, Word Press, and Social Media

 

Working Conditions and Environment

Long or odd hours, as needed. Some evenings and or Saturdays

Intermittently lift, carry, push, and pull up to 40 pounds.

Continuously see, sit, balance, grasp, and have repetitive use of arms, wrists, hands, and fingers.

Occasionally talk and hear.

Intermittently stand, stoop, bend, twist, crouch, kneel, crawl, walk, climb stairs and ladders, operate foot and hand controls, squeeze, and reach above shoulders.

Exposure to dust, chemicals, fumes, flammables, grease, dirt, stacked materials, electrical equipment, machinery, low to medium noise levels, and moderate indoor temperatures of heat and cold.

•Ability to travel once per year to Miami FL
